Many restaurants have a function room, a hall or a terrace that they make available for private parties, and some offer exclusive use of the whole restaurant. For birthdays, christenings, weddings or office parties they put together a set menu or buffet, lay the tables and look after the service during the event.
Depending on the restaurant, a reception with sparkling wine or an aperitif, coffee and cake, table decorations or equipment for music and speeches can also be included. For conferences, some restaurants offer a room with a projector and food throughout the day, and many also deliver food as outside catering to your home or office.
For a first offer, the restaurant mainly needs the occasion, the approximate number of guests and the preferred day and time. It also helps to say whether you would prefer a set menu, a buffet or finger food and how much you plan to spend per person.
Mention any dietary requirements straight away, such as vegetarian or vegan dishes, and let the restaurant know about allergies and intolerances as early as possible. For popular dates such as Saturdays in the wedding season or the weeks before Christmas, it is worth asking early, as rooms are often booked well in advance.
Do not just compare the price of the food. Ask how drinks are charged, whether as a package for a set time or by consumption, and which drinks a package includes. Also check whether there is a room hire fee or an agreed minimum spend.
A good offer states by when you need to confirm the final number of guests, how long the party can go on and what decorations, equipment or bringing your own cake will cost. Put the arrangements in writing, including what applies if you need to postpone or cancel.
Questions and answers
The bigger the party and the more popular the date, the earlier. For weddings and Christmas parties, suitable rooms are often booked months in advance, while a few weeks are usually enough for a smaller birthday. For a funeral reception, many restaurants can also find space at short notice.
You pay a fixed amount per person, and set drinks are included for an agreed length of time, for example soft drinks, beer, wine and coffee. Each restaurant decides exactly what is included. The alternative is paying by consumption.
Some restaurants charge a fee for a separate room. Others do not charge for the room but agree a minimum spend: if the bill for food and drink comes to less, the difference is charged. Ask about this before you confirm, so there are no surprises later.
Restaurants handle this differently. Many allow it and charge a cakeage fee per person for plates, cutlery and service. It is best to ask beforehand whether it is possible and what it costs.
